Overview
Draft an announcement and agenda for a meeting with stakeholders to present the key aspects of a plan to adopt the new or upgraded telehealth technology proposed in the previous assessment. Then, develop and record a 10–15-slide audiovisual presentation. Test your recording hardware to ensure that it is working properly and that you are familiar with its use.
Note: Each assessment in this course builds upon the work you have completed in previous assessments. Therefore, complete the assessments in the order in which they are presented.
As a nurse leader, you must be able to identify the key stakeholders in the adoption of a new or upgraded telehealth technology. In addition, you must be able to communicate the benefits and strategic value of the technology to obtain their support and ensure effective use of the technology. One method of communicating with stakeholders is to introduce them to the technology in a department meeting. In this meeting, it is important to discuss how this technology will enhance care and improve quality and safety outcomes.
This assessment provides an opportunity for you to consider how you would introduce to stakeholders the new or upgraded telehealth technology that was the focus of your previous assessment with the goal of obtaining their buy in and support.

SCENARIO REQUIRED:
Having completed the needs assessment and shared their findings with the leadership team at St. Anthony Medical Center, Ana and Tara are now ready to present the proposed technology to key stakeholders. Determining who the key stakeholders are is a complicated task, but Ana and Tara are confident that the leadership team can help them make the right decisions.

The needs assessment allowed us to ask the right questions of the venders and we have a strong proposal, as you all know because our own leadership has embraced it so positively. That’s great, but our next step is to prepare for a Stakeholder Meeting down in Murray County, where have a meeting next Monday to present our proposal. Our partners with the school will be identifying and inviting some stakeholders, but I have the impression that they are okay with a smaller focus than I would like. So, Ana and I thought we could use some of our time today to discuss potential stakeholders.

That’s a wise move, Tara… Ana. One way to identify stakeholders is to brainstorm. Get a reasonable group of people together in a meeting room and identify as many names or categories as possible. I have been in some meetings where the facilitator gives everyone a stack of sticky-notes and a marker and they just write down as many ideas as possible in a 10 or 15 minute time period. Whatever your technique, after you’ve generated a list, then discuss the list and try to determine if the person or category represents a primary or secondary or a key stakeholder. If you aren’t clear what those terms mean, there are some good websites and other resources that might help you see new ways to think about who stakeholders are.

I like the idea of brainstorming. With a project like this, it’s easy to get locked into thinking only about certain individuals or departments that have interests in what we’re doing, but there are always people who are affected that haven’t been thought of and therefore haven’t been included. That’s a great way to create bad feelings.

There are so many considerations. Some people may have an economic stake in the project. Others may have an emotional stake. For example, are there youth groups in these communities and if so, are they involved in the project? If you have a youth director who has been on the job for years at the biggest church in town, that person probably would appreciate being asked for his or her opinion on how to put this program together. That’s the kind of thinking that will help you really understand who the program affects and how you can engage those people.

You’ll have to think about who is most likely to have influence on key project success factors – which you identified in the needs assessment – and who might best champion the technology. You also should try to determine who might resist the project and think about ways of persuading them of its value. Not all stakeholders will be champions, but the more you can do to keep from creating adversaries, the better.
I had a colleague at another hospital I worked at who would create a stakeholder matrix – just a chart or spreadsheet – that listed all the primary and key stakeholders and well as their specific values and concerns. Doing that really helped him target his proposal and argument. He could address the things the stakeholders had concerns about and in that way, build support.

I know your focus is on the people in Murray County, but don’t forget to think about people on this side of the screen. Review the strategic goals for SAMC and for Vila Health as a whole. Try to address how this project supports business and clinical decisions. Look for ways that implementing emerging technologies fits stated goals. Talk about how the partnership enhances Vila Health’s image and how it enhances Murray County’s image. These are all things to think about if you want to develop a presentation that addresses stakeholder concerns and garners support for implementation.
Assessment Instructions:
You have completed your assessment of the need for a new or upgraded telehealth technology and presented your findings and recommendations to executive leaders. Their response to your assessment was positive, and they have asked that you introduce the proposed technology to other key stakeholders. Consequently, you have decided to host a stakeholders’ meeting to promote support and buy in for the new technology. Several people will be unable to attend the meeting, so you have decided to provide those individuals with a video recording of your presentation.
To prepare for the assessment, you are encouraged to think about how you can generate wider stakeholder interest and support within your organization or practice setting for the acquisition of the new or upgraded telehealth technology currently under consideration, based on the results of your needs assessment. Consider who is most likely to have the greatest influence on key project success and who might be a good choice to champion the project. In addition, you may want to begin thinking about how you will approach the design of your presentation slides.
